SYNCSWIM PRESENTS LLC (“Showcard,” “we,” “us,” or “our”) operates the showcard.fm platform. This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding your information. By using Showcard, you agree to the practices described in this policy. This policy applies to residents of the United States and covers information collected through showcard.fm.

1. Information We Collect

1.1 Account Registration

When you create a subscriber account, we collect:

• Email address
• Artist or display name
• Password (stored in hashed form — we never store your plain-text password)

1.2 Optional Profile Information

During onboarding, you may also provide the following information to help build your EPK. This information is optional and is not required to create an account:

• Location (city, state, and/or country)
• Artist type (e.g., DJ, Band, Producer, Singer-Songwriter)
• Genres
• Promotional links (e.g., Instagram, TikTok, YouTube, SoundCloud)

This information may be displayed publicly on your EPK page if you choose to publish it. You can update or remove it at any time from your account dashboard.

1.3 Billing and Payment

When you subscribe to a paid plan, payment is processed by Stripe, Inc. We store a Stripe customer identifier and subscription identifier associated with your account. We do not store your full credit card number, CVV, or other sensitive payment card details on our servers.

1.4 EPK Content You Provide

We store the content you upload to build your EPK, including biographical text, photographs, audio files, videos, press kit files, social media links, and upcoming show listings.

1.5 Contact Inquiries

When a visitor submits a contact inquiry through your EPK page, we collect and store the visitor’s email address, message text, and the date and time of submission. This information is stored on our servers and forwarded to your designated booking email address. No other identifying information (such as the visitor’s name or IP address) is collected or stored by the platform from contact form submissions.

1.6 Usage and Analytics Data

We use Google Analytics 4 (GA4) to collect aggregated, anonymized data about how visitors interact with the platform, such as pages visited and session duration. GA4 uses cookies and similar technologies to collect this data. For more information, please see our Cookie Policy.

1.7 AI-Generated Content

Subscribers may use our AI bio generation feature, which is powered by the Anthropic API. When you use this feature, the text input you provide is transmitted to Anthropic’s API for processing. Please review Anthropic’s privacy policy for information on how they handle data.

1.8 Log and Technical Data

Our hosting infrastructure may automatically collect standard server log data, including IP addresses, browser type, referring URLs, and request timestamps. This data is used for security, debugging, and operational purposes and is not used to build individual user profiles.

2. How We Use Your Information

We use the information we collect to:

• Create and maintain your subscriber account.
• Provide, operate, and improve the Showcard platform.
• Process subscription payments and manage billing.
• Deliver contact inquiries submitted through your EPK to your designated email address.
• Send transactional emails, including account verification, password reset, and contact inquiry notifications (delivered via Resend).
• Analyze platform usage in aggregate to improve features and performance (via Google Analytics 4).
• Provide AI-assisted bio generation when you use that feature (via Anthropic API).
• Comply with legal obligations and enforce our Terms of Service.

3. How We Share Your Information

We do not sell your personal information. We share information with third parties only in the following circumstances:

3.1 Service Providers

We share information with third-party vendors who process data on our behalf to operate the platform:

• Stripe, Inc. — payment processing and subscription management
• Resend — transactional email delivery
• Bunny Stream — video hosting, transcoding, and delivery
• Anthropic — AI bio generation (when you use that feature)
• Google — analytics via Google Analytics 4

These providers are authorized to use your information only as necessary to provide services to us.

3.2 Public EPK Pages

The content you publish on your EPK — biography, music, photos, videos, show listings, and any other sections you choose to enable — is publicly accessible to anyone with your EPK URL. Please do not publish content you do not intend to be publicly visible.

3.3 Legal Requirements

We may disclose your information if required to do so by law or in good-faith belief that such action is necessary to comply with legal obligations, respond to lawful government requests, protect the rights or property of Showcard, or protect the personal safety of users or the public.

4. Data Retention

We retain your account information and EPK content for as long as your account remains active. If you cancel your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes or for the prevention of fraud.

Contact inquiry records stored in association with your EPK profile are retained for as long as your account is active and are deleted when your account is closed.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, disclosure, alteration, or destruction. Authentication is managed using industry-standard hashed passwords and secure session cookies. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

Depending on your state of residence, you may have the following rights regarding your personal information:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request that we correct inaccurate or incomplete personal information.
• Deletion: Request that we delete your personal information, subject to certain exceptions.
• Opt-Out of Sale: We do not sell personal information, so this right does not currently apply.

Residents of California (CCPA), Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), and other states with comprehensive privacy laws may have additional rights under their applicable state laws.

8. Children’s Privacy

The Showcard platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete that information promptly.

9. Third-Party Links

Your EPK may contain links to third-party websites (e.g., Spotify, SoundCloud, Instagram). We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party services you visit.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice on the platform. The updated policy will become effective on the date indicated at the top of the policy.
